COMMITTEE MEETING
MINUTES
3/9/09
In Attendance: Scott Flynn, Tom Jensen, Jeff Pannell, David Lackey, Dietz Froehlich, Craig Neill, Mike Mrasek, Frank Wagnon, Jay Harvey, Carmen Biebighauser, John Biebighauser, Jay Emery, Steve Van Noy, Dave McCowan, Wayne Crandall, Bennett Boggess, Steve White, Rich Jacot, Lora Froehlich, Dwight Francis, Patrick Weisgarber, Frank Whelan.
Jeff Pannell called the meeting to order at 7:01pm. The minutes from last meeting were approved. The new scout parents were introduced. Congratulations were given to Wayne Crandall who was the recipient of the Lakeview District Volunteer Award.
Scott Flynn has been updating the Troop Information Handbook and presented the following updates: Updated charts, Info on Longhorn Council insurance, Scoutmaster fees for summer camp are paid by those attending camp, leadership positions require 80% attendance not 60%.
Discussion ensued about whether the troop should pay for Assistant Scoutmasters and Scoutmaster at summer camp. It was decided that this was a small and reasonable compensation for the time and effort the ASMs and SM spend to take boys to summer camp. The cost is spread over the scouts that attend the camp. It is not taken out of the troop budget. It was noted that the ASMs and SM are giving up their vacation time from work and in some cases are suffering lost wages to take the boys to summer camp.
Tom Jensen – Treasurer’s Report
The troop currently has $12,500 (not reserved in individual Scout Passbook accounts) that is available for troop operations. This includes costs collected for summer camps that have not been paid out yet.

Additional fees to Worth Ranch should be about $2,700.
The Glacier Nat’l Park trek will be covered by those attending.
Estimated CAMPOREE expenses should be about $1,850.
Subtracting these payables leaves an estimated $4,750 available for the balance of this fiscal year (ending August, 2009). The original seed money from St. Laurence Church of $3,000 is included in this amount.
It was determined that all food costs at Camporee will be passed on to the scouts and scouters and will not be taken out of the budget.
Nametags: Troop will provide nametags for all uniformed adults that have completed advanced training such as Rocking Chair and Woodbadge. Scouts are not to have nametags. Jeff Pannell will provide a list of names to Tom who will order the nametags.

Calendar Update:
Spring Break – lots of scouts at Twin Arrows
3/22 – Open House to new scout parents 5:00-5:30. Need ice cream. Bring in old scout uniform/gear etc. to share.
3/27-29 – March campout at
4/4 – Brazos Clean up led by Black Chaffe. This is not for new scouts. Scouts need to have canoeing merit badge.
4/6 – New date for April Troop Committee meeting
4/11 – Kimball cleanup. We will do some parent training while the boys are working.
4/17-19 – Camporee! We have only a few meetings before Camporee to get ready.
5/2 – Ordeal for those tapped out for Order of the Arrow
5/15-17 – May Campout
6/7 – Court of Honor
Patrol Guides are being assigned to the new scout patrol and to the 2nd year scout patrols. Nick Mrasek to assign. A scout guide does qualify for a leadership position. All boys that go to Camporee need to be troop guides or compete. No one sits in camp.
Policy for parents on campouts was discussed and is covered in the newest version of the Troop Information Handbook.
2009 Centennial Quality Unit Award paperwork has been completed and submitted to Longhorn Council.
Philmont – Decision was made to request a trek through Longhorn Council. Philmont changed their requirements and boys now have to be 14 by Sept. of the year you go. Parents need to be the judge of their son’s maturity level before deciding if a 14 year old should go.
Jay Emery – New Scouts
We will have 10 new scouts, maybe 11. We need to assign scout and scouter guides to the new scouts. To the parents – Make sure your scouts go to Camporee and to summer camp.
Mike Mrasek – Adult Training
An updated training log will be sent out shortly. Mike must receive copies of completed training certificates before he will add to the log. We now have 7 new adults trained in archery. Dates for Rocking Chair for the fall won’t be published until July. All new parents need to get Youth Protection Trained. Also get safe swim and safety afloat.
